Concise system answer

How to evaluate a CRM system

CRM System is presented as a custom-built system concept, not a named off-the-shelf product. A suitable implementation would organise leads, accounts, contacts, activities and next actions for sales, service and leadership roles. Fit depends on the existing process, data quality, security boundary, integration constraints and the organisation that will own the system after release.

Core records

Define leads, accounts, contacts, activities and next actions before selecting screens or automation.

Reporting decisions

Design for pipeline movement, follow-up age, ownership and conversion definitions; every measure needs an owner and definition.

Integration boundary

Potential connections include approved enquiry sources, email/calendar when later authorised, finance and reporting systems. No external or production service is connected in this pilot.

Questions before you decide

A duplicate, owner absence or disputed qualification should enter a review queue. Do not auto-merge contacts, send outreach or advance a sale simply because an automation completed.

The operating decision

Who owns the next useful conversation?

A contact list and a sales process solve different problems. A useful CRM connects an enquiry to the right account, an accountable owner and a dated next action. It should retain why a conversation matters, rather than make staff reconstruct that context from messages. Start with the handoff that currently loses information; a long list of pipeline stages will not repair an undefined sales process.

Proposed workflow

A complete path through CRM System.

Read this as a planning model. Each transition needs a responsible person, a valid starting state and an observable outcome before it is implemented.

  1. Capture permitted enquiry context

Contacts, permitted source context and relationship history.

  2. Resolve account and owner

Named owner, due date and a reason for deferral.

  3. Agree next action and date

Defined stage transitions, decision notes and closure reasons.

  4. Review outcome and history

Ageing, missing owners and stage movement with explicit definitions.

Exception path

A duplicate, owner absence or disputed qualification should enter a review queue. Do not auto-merge contacts, send outreach or advance a sale simply because an automation completed.

Fictional planning example

Follow the case that does not go to plan.

Consider a fictional prospect who asks about two services through different channels. Creating two unrelated opportunities would inflate the pipeline and split the conversation. The intake screen should identify a possible match, let an authorised person resolve it, and retain each source without silently combining people. Reassignment should move the responsibility and next action together. Closing an opportunity should preserve the reason, not erase the history.

This example explains a design requirement. It is not a client case study, completed installation or measured result.

Modules and ownership

Keep the boundaries understandable.

Screen names can change. The responsibility behind each module should remain clear to the people operating the system.

Records and roles

The information model covers leads, accounts, contacts, activities and next actions. Confirm which fields are authoritative, which are derived and which should not be collected. The relevant users include sales, service and leadership roles; those roles need explicit read, change, approval and export boundaries.

Possible integration boundary

Consider approved enquiry sources, email/calendar when later authorised, finance and reporting systems. For each proposed connection, identify the system owner, permitted fields, failure state and reconciliation method. A named integration is a planning possibility, not an active connection or a claim of platform endorsement.

Configure, connect or build

Choose the smallest maintainable change.

Evaluate existing software

Use an established CRM when its account model, permissions and activity history fit the team. Test exports and reassignment in a trial before treating attractive dashboards as proof of suitability.

Define the custom boundary

A tailored workflow becomes more relevant when account relationships, approval rules or operational handoffs cannot be expressed safely in the existing CRM. Keep the custom boundary smaller than a full replacement where possible.

Plan a controlled transition

Map account identifiers, duplicate rules and field ownership before import. Rehearse a small permitted sample, reconcile open actions, and keep the old system available for comparison until the owner accepts the result.

Measurement without invented results

Agree how usefulness will be reviewed.

Review unassigned enquiries, overdue next actions and the time between meaningful stage changes. Agree the baseline and definitions before setting an improvement target.

Reporting can cover pipeline movement, follow-up age, ownership and conversion definitions. Define the population, time period and exclusions before comparing results. Keep data-quality limitations visible rather than presenting a precise-looking number without its context.
