Concise system answer
AI Knowledge Assistant is presented as a custom-built system concept, not a named off-the-shelf product. A suitable implementation would organise approved sources, questions, answers, citations and feedback for staff, knowledge owners, reviewers and administrators. Fit depends on the existing process, data quality, security boundary, integration constraints and the organisation that will own the system after release.
Define approved sources, questions, answers, citations and feedback before selecting screens or automation.
Design for coverage gaps, unresolved questions and source freshness; every measure needs an owner and definition.
Potential connections include approved documents, identity and business applications. No external or production service is connected in this pilot.
Missing sources, stale approvals and permission changes should affect retrieval immediately according to the agreed design. The assistant must not fill a policy gap with invented guidance.

The operating decision
A knowledge assistant is useful only when retrieval respects the organisation’s information boundaries. Documents need owners, versions and permission rules before they become answer material. The assistant should distinguish a supported answer from a missing or conflicting source. A natural-language interface does not remove the need for document governance; it makes weaknesses in that governance easier to encounter.
Proposed workflow
Read this as a planning model. Each transition needs a responsible person, a valid starting state and an observable outcome before it is implemented.
Owner, version, approval and refresh state.
Permissions applied before answer construction.
Citations, uncertainty and source context.
Conflicts, missing topics and correction workflow.
Missing sources, stale approvals and permission changes should affect retrieval immediately according to the agreed design. The assistant must not fill a policy gap with invented guidance.
Fictional planning example
A fictional employee asks about an internal procedure that has recently changed. The assistant should retrieve the approved current version and retain a checkable citation. A restricted appendix must not appear in a summary for someone who cannot open it directly. If two approved documents disagree, the assistant should surface the conflict for the knowledge owner rather than blend them into a confident new policy.
This example explains a design requirement. It is not a client case study, completed installation or measured result.
Modules and ownership
Screen names can change. The responsibility behind each module should remain clear to the people operating the system.
The information model covers approved sources, questions, answers, citations and feedback. Confirm which fields are authoritative, which are derived and which should not be collected. The relevant users include staff, knowledge owners, reviewers and administrators; those roles need explicit read, change, approval and export boundaries.
Consider approved documents, identity and business applications. For each proposed connection, identify the system owner, permitted fields, failure state and reconciliation method. A named integration is a planning possibility, not an active connection or a claim of platform endorsement.

Measurement without invented results
Review citation correctness, unresolved questions and source freshness. Do not promise universal accuracy or complete knowledge coverage.
Reporting can cover coverage gaps, unresolved questions and source freshness. Define the population, time period and exclusions before comparing results. Keep data-quality limitations visible rather than presenting a precise-looking number without its context.
